St Michaels PTA

Minutes of the Meeting held Tuesday 11th September 2007 at 7.00pm

 

 

Present: Jacqui Bath, Gina Dagger, Deb Gooding, Rachel Day, Nikki Goodway, Eugene James, Casey Abram Jones, Sue Branton, Sue Brooks, Adrian Vye, Lynn Hadrell, Mel Kayes, Susan Weaver, Nic Labuschagne, Nancy and Darren Clark, Julia Moss, Sylvia Chambers, Ingrid Wilkins.

Jacqui welcomed all to the meeting especially those new faces who have not been to PTA before.

 

Matters arising from the previous meeting:  Jacqui asked if the Playlink membership had been received ? Eugene said it hasn't yet.  Debbie Gooding agreed she would chase it up.   Jacqui asked if we had donated anything to the people who lent us the stocks for the Summer Fayre.  Casey said no we hadn't - it was agreed we would leave this now as it was so long after the event.

 

Correspondence

 

Ingrid passed over a cheque for £19.20 to Gina from Yellow Moon.

 

We have had some correspondence from the company that does Tea Towels with a picture drawn by each child.  We haven't done these for a few years and it may be nice to do them again.  Susan stressed that before we had had to do a bulk order and then had loads left.  Gina will investigate and report back at the next meeting.

 

EVENTS

 

Circus ? 27th/28th September

 

So far ticket sales have been good (143 in two days).  Jacqui explained that the circus is visiting for two days to work with all the children.  Then there will be two performances in the evenings.  We will need loads of help to make the event a success.  We especially need at least 8 volunteers to put up the tent on the Wednesday (26th)

Eugene will take on the BBQ and will organise enough people to cook (Nic Labuschange volunteered to help with this).  We need to organise 6 people to serve as much food in 45 minutes as possible.

 

Deb & Ingrid will do the food and drinks shopping although Eugene volunteered to buy the wine on his upcoming trip to France which was agreed. The 'shoppers' will see Casey if they would like an advance to purchase the shopping.

 

Mel Kayes is unable to get the Candyfloss machine.  Adrian thinks he may know someone who has one - Mel's husband John will sell it if we can get our hands on a machine ? Adrian to investigate.

 

Mel will shop for Glow Sticks and novelties to sell on the night - we agreed that if she could do sale or return that would be best.  If not buy 500 and we will use them for the Autumn Disco and Xmas Parties/Fayre.

 

We need to ensure we have help on the nights for the following.

Autumn Disco - 19th October

 

Sue Branton is happy to organise this again with the help of Mel Kayes and  Gaynor Brockwell.  Gina and Jacqui also offered to help.  Sue will book Lewis to do the disco again and will give thought to colouring competitions, games and prizes.  The length of time last year was too long.  This year it will run from 3.45pm - 5.15 pm.

 

Xmas Fayre. - 30th November 6pm-8pm

 

Jacqui explained that all she needed to do at this meeting was form a sub-committee and set a date for the first meeting. It was agreed that like last year the meeting would be held on a Tuesday afternoon in school and the following people we prepared to be on the committee.

The following were unable to make a Tuesday afternoon meeting but were prepared to help and get involved

 

Deb Gooding, Casey Abram, Eugene James, Sue Brooks, Julia Moss, Nicki Goodway.

 

The date of the first meeting was arranged for Tuesday 2nd Oct - 2pm in school.

 

 

Nancy suggested that at her last school they had a secrets room where the children were asked in advance who they wanted to buy presents for and sent in their money beforehand.  On the night they went to the secrets room and chose and wrapped their presents.  From a stock point of view this worked well because we knew how many presents and of what type we needed so there was no waste.  We will consider this approach at our first meeting.

 

A number of people thought we should run the bidding table again.  We will finalise all this at the Xmas Sub- Committee meeting.

 

Treasurers Report

 

Casey reported that we currently have approx £1000 in our reserve account and £3000 in our current account.  She has some concerns over cash flow as we have the outlay for the circus, stock purchase for the Xmas Fayre, the Autumn Disco and Mr Vye would like a cheque for the school blinds.  It was agreed that we would delay payment for the blinds until after the circus to ensure that we did not compromise our cashflow.

 

There was some discussion around what we should raise money for this year.  Casey would like to see us have a big project we could work towards.  Mr Vye said that there was nothing immediate that could be classed as a big project.  He felt that paying for the coaches is a really worthwhile thing for the PTA to do and he would like to see us do this again next year.   Jacqui asked if Mr Vye and Miss Weaver could ask the staff and come up with a wish list again so that we could have something to work towards.  Mr Vye will give this some thought. 

 

 

Future Fund Raising

 

As we had some new faces at our meeting we asked if anyone had any new ideas for raising funds for St Michaels PTA.

 

Lynn Hadrell said that she had run film night at her previous school once a term where the ticket price was £2.50 to include drink and biscuit or packet of crisps and the children came after school and watched a suitable film.  It was very popular and they would do one for the infants and one for the juniors per term. 

 

It was agreed that this was a good idea and we would try this out - Lynn is happy to organise this, so a date for Junior film club was agreed to be 2/11/07 and Infant film club 17/1/08

 

Sylvia suggested thinking about Car Boot Sale at school.  Susan advised that we had tried this before but the cars and people coming and going on a Saturday had proved unpopular with the residents of Linden Close!!   It was agreed that we would be unable to allow cars to park on the school field because of access and sharing with the cricket club.

 

Nancy suggested thinking about an organized Firework Display where a professional company come and do the fireworks.  This was discounted for now because of sensitivity after the accident at a primary school in Frampton.

 

Mel suggested a Fashion night for next year.

 

Gina suggested a Promises Auction where each family donates something and we auction it at school.

 

Race Night - Susan said these were always good fun and well supported.

 

Nancy mentioned that The Mall have a foundation fund that can be applied to purchase things for the school.  Gina will enquire as to how to go about this and we can give these ideas some more thought for the next meeting.

The date of the next meeting was agreed to be straight after the AGM on 16th October 2007 at 7.00pm
