PTA Minutes - May

Jacqui welcomed all to the meeting and the minutes of March's meeting were agreed.

 

There was one piece of correspondence from the Governors of St Michael's thanking the PTA for organizing the Ladies Evening and raising such a large amount of money for the school.

 

Year 3/4 Evening  Post Mortem

 

This was a big success - the children had a great time. Jacqui thanked all those who helped with such enthusiasm.  Whilst the 'Prom Night' theme was a hit we will have to think of something else next year as half the group of children who are currently Year 3 will be attending as Year 4's.

 

Rachel's 'Fizzy Prom Punch' was very popular! The quantity of food was just right.  The girls were given corsages which they were pleased with.  Miss Weaver took photos of the children as they arrived and printed them so they all took one home.  Adrian felt the event was a big success it would be good to get some of the photos on the website - he will ask Mrs Robson if that is possible.  Lewis Hounsell and Ben Wright did a cracking job with the disco - they are professionals! The PTA should write and thank them for all their efforts.  Gina will see to this.

 

The event cost about £140 and the PTA took about £120 in ticket money so the event was not particularly costly. The trophies we purchased cost around £40 - Eugene will see if he can get them for us more cheaply in the future.   

 

Future Events

 

Ann asked if we wanted to organise another Curry Night.  After much debate it was agreed that as we have the circus booked in September and the R/Yr1 Disco in October, the Christmas Fayre in November then the earliest available date would be January 2008.  The 21st January was provisionally booked for a 'Fish & Chip' evening but a definite decision on the theme and style of the evening will be discussed nearer the time.

 

Summer Fayre

 

Broadly all is in hand.  The Sound System is booked,  the bouncy castle is booked.  The stocks appear to have been given away but Eugene is on the hunt for them and will try and track them down ? he is confident they are still somewhere in Winterbourne!

 

Eugene will organise the BBQ.  Rachel & Ingrid will get the food. 

The Theme for the event is 'Disney/Cartoon Characters'

Eugene is looking into getting us a banner to advertise the Fayre.  Adrian said Susan has been trying to investigate who to speak to about obtaining permission to display a banner but  without much success - Eugene will speak with her and try and sort this out.

 

We have a signed Rover's football to raffle thanks to Jo Wood.   We should see if we can obtain a City one as well -  Gina will write to them to ask. - we could raffle them separately on the day.

 

Parking will be available in the Ridings Car Park

 

Circus

 

Gina advised that the circus is booked for the 27th and 28th September and the deposit of £75 paid.  Nearer the time we should write a letter to the local residents advising them of what is happening and possibly inviting them to purchase tickets if we have scope.  Parking will be available at the Ridings Car Park.  Gina will chase the Circus people for their promotional pack and posters etc.  At the next meeting we will form a proper plan of action to ensure the event is successful. 

 

The only problem that Gina could foresee would be if the weather were atrocious then we would have to do the performances in the school hall.  It could be difficult to fit everyone who we have sold tickets to in plus the children - hopefully this will not be something we will have to worry about - we will have to form a contingency plan nearer the time. 

 

R/Yr1 Disco  - The date for this was agreed to be 19th October 2007.

 

Christmas Fayre - The date for this was agreed to be 30th November 2007.

  

Treasurers Report

 

Casey advised that the Easter Egg Hunt raised £67.84 for school funds.

 

The Final amount raised by the Ladies Night was £698.88

 

The Invitation Books raised £346.65 for school funds.

 

We have £2234 in the current account and £5030.69 in the Reserve Account.

£2,000 of this money should be set aside to pay for the coaches for this years school trips.  Mr Vye has a number of things he would like the PTA to consider paying for.

 

The Asbestos Garage Roof is cracked and leaking.  It is where the PTA store all their things.  Mr Vye asked that the PTA consider meeting 50% of the cost of the roof and gutter repairs which amounts to £1417 (inc VAT). 

The taps in the girls bathrooms have been replaced at a cost of £1000. Mr Vye asked  that the PTA consider meeting half of the cost of this. (£500)

 

Other items Mr Vye would like the PTA to consider paying for

Yr 6 Trip to the Cathedral - £118

Yr 5 Needless Greed Trip - £150

Whole School Theatre Trip to the Ridings - £352

Yr 6 Leaving Gifts - £136

 

After consideration with staff at the recent inservice day other items on the school wish list would be

 

*  Screens for class rooms to block out sun from sky lights

*  Games tops for the picnic benches

*  Refurbishment of blinds in the Elliots - Estimate £1000

*  Display screens - Estimate £350

 

It was agreed at the meeting that the PTA would pay for the following

 

50% of the cost of the Roof

50% of the cost of the Taps for the Girls Toilets

Y6 Trip

Yr 5 Trip

School visit to the Ridings Theatre

Yr 6 Leaving Gifts.

 

Total Expenditure for this would be around £2673 plus we have £2000 already earmarked for School Trips.  The Circus booked for September will cost £1500 although we hope to recoup the cost of this through ticket sales. We will discuss the other items on the wish list at the next meeting which will be after the Summer Fayre when we will have a clearer idea of our financial position.

Ann thanked all present for her new greenhouse and bedding plants which were bought with PTA funds. 

 

Casey advised that her husband?s employer operates a scheme where charities and community groups can apply for funding to purchase equipment etc.  It was agreed that Gina will draft some wording and forward to Casey to see if they will donate the money to add the Games Tops to our existing picnic benches. This must be done by the 18th May.  If we were successful then In return we could offer the company recognition for their kind donation by telling all the parents in the school newsletter and thanking them on our website etc. 

 

The date for the next meeting was agreed to be on the 5th July 2007 at 7pm at the Cross Hands, Winterbourne Down.
