St Michaels PTA
Minutes of the Meeting held Tuesday 9th January 2007 at 7.00pm
Present: Rachel Day, Sue Brooks, Sue Branton, Gina Dagger, Mel Kayes Deb Gooding, Casey Abram Jones, Ingrid Wiling, Jacqui Bath, Adrian Vye, Eugene James, Ruby Raja

Jacqui thanked all for attending and the minutes of the last meeting were agreed.
Christmas Fayre ? Post Mortem:
Adrian thanked Jacqui for organizing the Christmas Fayre which raised over £2,000 for the school ? our biggest amount ever!.
Jacqui asked what was good and what could we have done better. Sue Branton has had comments that there could have been more games for the children to play. Mel Kayes felt the lay out was better this year. Santa?s visitors were intermittent ? the children weren?t sure when it was their turn because they couldn?t hear Jacqui over the P A System or weren?t listening because there was so much going on ? we need to organise this better next year.
The fossils were really popular ? there are just a few to be returned.
The Bidding Table raised £464 ? it was agreed that we will do this again next year and target our letters specifically to business that could provide gifts to auction.
Jewellry Stall ? no donation has been received from the lady who ran the jewelry stall. Gina will call here and asked if she did make a donation who did she make it too and if not would she now like to donate.
Grand Draw ? we did not have enough tickets to sell on the night. However a lot of tickets went home and we never sent back as unsold. For the next event we will consider having less tickets but at a £1 each rather the 20p as very few people will buy less than £1?s worth. The next event is the Summer Fayre ? Casey and Jacqui will get the Grand Draw tickets organized shortly.
The Reindeer Dust, Crackers and Santa letters were all popular.
Year 5/6 Evening ? Friday 26th January.
Adrian felt it would be better if the time for the event was 4-6pm rather than 6-8pm. The event will have a disco/talent theme. We need to decorate the hall, provide prizes, some food and drinks.
Suggestions for Decorations included using Tin Foil to hang on the walls, glitter curtains for the doors, Glitter Wigs for the teachers, and Glowsticks and bag of sweets for the children.
Jacqui & Deb agreed they would shop for the decorations and food/drink.
Susan Weaver and Eugene will rally some parents to help on the night.
Ingrid and Casey can help decorate the hall and see who else they can get to help. Michael Moreno has agreed to organise a sound system and lighting. Adrian will speak with Michael when he is back at school and let Jacqui know what else he needs as prizes.
Ladies Night ? 8th March
Mel Kayes volunteered to organise the Ladies Night.
Adrian is happy for the classrooms to be made available for treatments.
We will sell wine and champagne if we can get it at a good price ? Gina will organise license for the event.
Mel will approach people she knows to see if they would like to come and make a donation of £10 for a stall and a donation for the Hamper which we will raffle on the night. Suggestions included: Virgin Vie, Just Bodycare, Body Shop, Noodle, Partylite, Card lady, Bag lady, Chocolate Lady.
We could also sell Chocolate Dipped Strawberries.
Gina will organise for the first flyer to go home to parents for the week beginning 22nd January. Tickets will be £2 in advance or £2.50 on the door. Gina will also organise some door flyers, Posters for the village and investigate getting something in the Parish Magazine.
Treasurer?s report.
Our current balance stands at approx £7,300. It was agreed that Casey should move £2000 into our Reserve account to cover the costs of the school coaches. Ideally we would keep a floating balance in the current account of around £2,000.
Mr Vye came to the meeting with a ?Wish List?
The projects that could be effected immediately (with hopefully help from some parents) were as follows
- Moving of fencing in reception to expand the present area for a play house - £600
- Path to connect the infant play ground to patio area - £200
- Path from double gate in the back land to the foundation stage playground (£200-£400)
- Hearing Loop and Sound System in hall (up to £1,000 agreed)
- Tyres in activity trail (£1,250)
- Inner Doors in bottom entrance (porch/vestibule).
Projects that the School Council have requested the PTA to consider and are more Long Term goals were as follows:
- Refurbishment of the Girls Toilet areas.
- Repainting of the School Hall and interior of the elliot buidings
- Outside shelter in Infant Playground over the tarmac area.
- Outside shelter extended in Junior Playground.
There was discussion as to whether the PTA should pay for projects such as these which are more structural.. Mr Vye reminded us that these were projects that the School Council had asked that we consider i.e this is what the children want.
It was agreed by all members present that we comfortably have the funds available for the projects that could be dealt with in the short term and so the PTA are happy to pay for all 5 projects on the list (approx £3,450). The Hearing Loop may be cheaper than anticipated and Michael Moreno is advising Adrian on what would be suitable We will discuss the longer term projects in more detail at the next meeting.
Mr Vye made the point that the Path from the double gate in the back lane to the foundation stage would hopefully eases the traffic problems in Linden Close and encourage Abacus parents to pick up using the lane. To give them this entrance to use rather than the main entrance would make the school a more secure site during school hours.
Mel asked if there were any plans for a bike shed. Mr Vye said this had been discussed at length and was specifically excluded in the school travel plan as it was felt too dangerous. Linden Close and the lane are too narrow to accommodate bikes and traffic.
The date of the next meeting was agreed to be Tuesday 13th February ? 7 pm.
