St Michaels PTA
Minutes of the Meeting held Tuesday 13th February 2007 at 7.00pm
Present: Rachel Day, Sue Branton, Gina Dagger, Casey Abram Jones, Jacqui Bath, Susan Weaver, Eugene James, Ingrid Wilkins, Mel Kayes, Debbie Gooding, Adrian Vye.
Apologies: David Mock, Sue Brookes, Gaynor Brockwell, Ruby Raja.
Jacqui thanked all for attending and offering their support to the PTA and the minutes of the last meeting were agreed.
Correspondance: Jacqui handed round some letters received from the 5/6 children thanking the PTA for their disco/talent evening and also a letter from the Governors thanking the PTA for the amount of effort that went into making the Christmas Fayre such a success.
The 5/6 evening was a huge success ? the children loved it and were really well behaved. The hall looked fantastic ? thanks to all involved with decorating it. One small point to note from Eugene ? no cheese rolls next time ? only the ham ones got eaten!
Ladies Night
Mel has sold 22 tables and has 9 therapists booked.
Focus after half term needs to be on selling tickets as we have not sold many so far.
Help required for the event.
Raffle prizes need to be wrapped/presented ? quickest way will be in gift bags. Gina will look for nice gift bags at Instore. All present to be aware and help with wrapping them on the evening.
Bar ? All present at meeting to help with running of bar on the evening so everyone can enjoy therapies and stalls. Gina has got the licence to serve alcohol.
Setting Up ? As much help as possible required from 1.30pm on the afternoon to set up the tables/classrooms etc.
Wine and Glass Hire ? Ingrid agreed to organise purchase of wine and hire of glasses (Tesco and Sainsbury?s usually do this for free).
Raffle Tickets ? Jacqui will check we have enough tickets to sell on the night.
Ladies Night Event Tickets ? Gina will produce for Sue Branton and Gaynor the week after half term.
Flyers and Pamphlet ? Gina will produce flyers for the parents (school and Abacus), the church, and the local shops together with a pamphlet detailing the treatments on offer and the stall holders coming to encourage people to book slots for treatments.
Jacqui thanked Mel, Sue and Gaynor for all their work in organizing .
Pre School Easter Egg Hunt ? 28th March ? Mr Vye would like to offer Tea and Coffee to the parents. Deb Gooding agreed to help with this.
Year 3/4 evening ? 27th April. Theme was agreed to be an American Style Junior Prom/High School Musical theme with Disco and Games, photos maybe of the children to make a Year Book to commemorate the event. We could serve fruit punch ? prizes for best dancers etc. We will put firm plans in place to organise this at the next PTA meeting.
Parents Evenings ? 14th/15th March. Mr Vye would like the PTA to do Tea/Coffee etc as the Kitchen is doing ?Food Tasting? for the parents. Jacqui offered to do the 14th and will try and find someone for the 15th.
Summer Fayre. ? we need to form a committee. A date for the first meeting was set for 20th March at 2.00pm. Ingrid, Eugene, Sue, Mel, Rachel, Jacqui, Gina will be involved. Gina will get note out to parents advising them meeting is taking place and inviting them to attend.
Mel said she needs to know whether to investigate Fairground rides for the day. She is confident that the Black Thunders are Ok to visit school for 1 hr on the day. It was agreed that Mel should look into booking 1 big ride and 1 small ride
and 1 Inflatable for the day. The PTA would require rent of around £50 per ride. Mel will look into it and report at the committee meeting.
Eugene will investigate the Playlink bouncy castles that might be available for the event and also the cost of a big banner to advertise the event which he will see if we can put up by the Ridings.
Treasurers Report
Casey has moved £2000 to the Reserve Account as agreed at the last meeting. We still have a lot of money in the current account even though the tyres have been paid for and we need to pay Invitation Books about £900 which will make school a profit of around £270. It was agreed that as we can access the money immediately she would move a further £3000 to the Reserve Account.
There is a general concern that we still have a lot of money in the bank. Mr Vye has been getting quotes for some of the projects in the PTA longer term plans but getting the right people for the job at the right price is a slow process. Jacqui said that the important thing is that the PTA are actively trying to spend the money.
AOB
Yellow Moon ? Jacqui noted that we haven?t yet received the money from the Christmas Yellow Moon catalogues and asked Ingrid to investigate.
Big Top - Freds Flying Circus. Gina asked the meeting if we want to investigate further as this could be a good family event to kick the new school year off in September with. General feeling was it would be great fun for the children to get involved with putting on a circus show and a good way to welcome new children/parents to the school. Gina will investigate when in September the Big Top is free. Cost is £1,000 for one day or £1,500 for two. Agreed at the meeting that if they are free for one day this could be provisionally booked.
PTA committee need to fill in the form to notify the NCPTA of the new trustees. It was agreed to defer this till the next meeting.
Future events were briefly discussed such as a fashion night and a jumble collection to raise funds for the school. Agreed we would discuss future fundraisers after the Ladies Night on the 8th March.
