AGM Minutes

St Michaels PTA

Minutes of the AGM held Tuesday 16th October 2007 at 7.00pm

 

Present: Gina Dagger, Jacqui Bath, Casey Abram Jones, Sue Branton, Deb Gooding, Rhiannedd Baker, Liz Hitchman, Rachel Day, Ingrid Wilkins, Ann Isaacs, Tamara Gould, Julia Moss, Ruby Raja, Adrian Vye.

Jacqui welcomed all to the AGM.  Copies of the minutes of last years meeting were circulated.  There were no matters arising so the minutes were approved & signed.

 

Chair Persons Report

 

Jacqui said she felt that 2006/2007 has been a successful year.  Last year the PTA had been in the considerably weaker state with the same people being responsible for all the events and only 4 or 5 people at each meeting.  What has been really pleasing this year is that we have 10-15 people per meeting but many other 'helping hands' who are not able to always make meetings but are happy to be involved in and help at the events. 

 

Also we have had smaller groups of people forming sub-committees within the PTA to take responsibility for events which has meant the responsibility has been more evenly spread across the whole PTA.  

 

Jacqui thanked Adrian, Susan and the rest of the staff for the active role they take supporting and helping at events.  She also thanked all those who attend the meetings regularly and the other officers Casey, Eugene and Gina for all the work that goes on often behind the scenes.  

 

Jacqui also said she felt that whilst we have been successful as fundraisers she felt that the PTA had been just as successful in fostering a community spirit within school.   This was highlighted by the success of the circus ticket sales where virtually every family in school supported the event which was fantastic.

 

Treasurers Report

 

Casey began by saying that the PTA has spent a lot of money this year!  She highlighted that the school has benefited from £9300 worth of funding this year from the PTA.  She pointed out that not all that money had been raised this year  a significant amount had been inherited from the previous year but Mr. Vye's wish list has almost all been granted.

 

As at September 1st 2006 there was £6,935 in the current account.

 

At end of Aug 2007 there was £6,674 in the Current account and £1,000 in the reserve account which is our emergency fund.

 

Since Aug 2007 the PTA have written a number of cheques to the school to pay for the Year 6 leavers dictionaries, coaches for the school trips, the garage roof, the school blinds and books. 

 

So we currently have £2,053 in the current account and £1,018 in the Reserve Account. 

 

Casey had prepared the necessary paperwork and spreadsheets for the auditors which was available for inspection at the meeting.

 

 

Election of Officers

 

Jacqui advised that we needed to elect for the following positions

 

  1. PTA Chair.
  2. PTA Vice Chair.
  3. PTA Treasurer.
  4. PTA Secretary.

PTA Chair - Eugene James nominated Jacqui Bath and was seconded by Ingrid Wilkins.  Jacqui accepted the position.

PTA Vice Chair - Jacqui Bath nominated Eugene James and was seconded by Deb Gooding.  Eugene accepted the position.

PTA Treasurer - Rachel nominated Casey Abram Jones and was seconded by Eugene James.  Casey accepted the position.

PTA Secretary - Deb Gooding nominated Gina Dagger and was seconded by Sue Branton. Gina accepted the position.

 

 

 

Nomination of Trustees:

 

Casey explained the role of the Trustee and the duties they were expected to undertake.  As we are a charity then the charities commission is informed of who the Trustees are. 

 

Gina pointed out that as we are members of the NCPTA, they assist us and we use their standard constitution.  We have their insurance and they are there to offer advice and help us.

 

We require a minimum of 7 trustees.   The 4 committee members are automatically Trustees.

 

 

Gina Dagger nominated Susan Weaver and was seconded by Liz Hitchman

Rachel Day nominated Deb Gooding and was seconded by Sue Branton

Deb Gooding nominated Rachel Day and was seconded by Ingrid Wilkins

Deb Gooding nominated Ingrid Wilkins and was seconded by Sue Branton

Gina Dagger nominated Rhianedd Baker and was seconded by Jacqui Bath

Deb Gooding nominated Sue Branton who was seconded by Rachel Day

Casey Abram Jones nominated Julia Moss and was seconded by Ingrid Wilkins

 

All of the above accepted the positions.

 

Election of Auditors

 

Peter Groves of Richardson Groves was re-elected as our auditor.

  

Head Teachers Address

 

Adrian thanked Jacqui, the committee and all the PTA for helping with all the events this year.  He stressed how important the PTA is to the ethos of the school in providing them with experiences that are complimentary to the work the school already does.  Whilst the PTA have paid for some BIG projects in the past such as the activity trail etc sometimes the things which really make the difference to the children are the smaller things such as the discos, the coaches for the school trips (meaning a better quality trip could be bought), the storyteller, the bangra dancer, the pantomime and the circus.  All these things were things the children would remember for a long time.

 

The boring things like taps, roof, fence which the PTA contributed to this year do all make a difference to the quality of the children's learning environment in school and the school would have had difficulty finding money to do these repairs this year had it not been for the PTA.  It is about getting the balance right.

 

Adrian also wanted to thank the PTA for the hours put in at Open Mornings, Sports Day, Christmas performances etc in providing Tea/Coffee and drinks etc for all our visitors.  This all helps makes our visitors feel that our school is a good place to visit. 

 

Casey asked Adrian if he had other thoughts as to what we could look to raise money for next year.  Adrian said he has a number of ideas around helping us work towards becoming an Eco School but these are still in their infancy. 

 

Casey asked about maybe employing someone to paint a mural on the side of some of the schools buildings.  Adrian advised that we do have an artist booked to come to school to design a seat for school that would hold up to 15 children but maybe we could discuss the mural at a future meeting

 

The date of the next AGM was set for the 14th October 2008.
